Open the completed meeting in Teams, find the transcript in the meeting recap, and download it if your role and organization policy allow. Microsoft currently supports transcript downloads in .docx or .vtt format for authorized users. 1. Get the transcript you are authorized to use

Microsoft’s current workflow places the transcript in the past meeting’s chat under Recap → Transcript. Organizers and co-organizers can download it by default; other access can depend on administrator policies. If downloading is unavailable, ask the organizer rather than bypassing the restriction. Confirm that participants were informed about recording or transcription and follow your organization’s privacy rules.

2. Preserve the source before editing

Keep an untouched copy of the transcript or recording. Work on a duplicate so that you can return to the source when a name, number, commitment, or technical term is unclear. A transcript is evidence to review, not finished minutes.

3. Use a meeting-notes structure

Do not summarize every sentence. Extract information into a structure that supports follow-up:

  • Purpose: why the meeting happened.
  • Summary: three to five sentences of essential context.
  • Decisions: what the group agreed or rejected.
  • Action items: task, owner, and deadline.
  • Open questions: what still needs an answer.
  • References: files, links, or source passages needed later.

4. Convert discussion into action items carefully

A statement is not automatically a commitment. “We could send the proposal Friday” differs from “Mina will send the proposal by Friday.” Record an action only when the transcript supports the task, owner, and timing. Mark uncertain details for confirmation instead of guessing.

5. Review the high-risk details

Check attendee names, dates, amounts, product names, votes, decisions, owners, and deadlines against the transcript or recording. If the notes affect customers, employment, legal work, healthcare, or financial decisions, require an appropriate human reviewer.
